Understand appointment statuses and outcomes

Learn what each appointment status means and how to finish or reject an appointment.

Every appointment carries a status that controls where it appears and which actions are available.

Upcoming and pending appointments

  • Unconfirmed is a pending appointment that has not been confirmed. If its start time passes while it is still unconfirmed, Bookibo changes it to Rejected.
  • Confirmed is an active upcoming appointment. Open it to edit its time, service, specialist or note, or select Reject to decline it.

When the start time of a confirmed appointment arrives, Bookibo moves it to To-do. Owners and administrators see these appointments in the shared To-do list; specialists do not see that list.

Record the outcome

Open a To-do appointment and choose one outcome:

  • Completed when the service was provided;
  • Didn’t arrive when the client did not attend. The resulting status is Missed.

If Track revenue is enabled, completing an appointment also requires an amount paid greater than zero. Completed appointments contribute to client visit totals and business reports.

Cancelled and rejected appointments

  • Rejected is used when the business declines a confirmed appointment or when an unconfirmed appointment reaches its start time.
  • Cancelled is used when a client cancels through their appointment link while self-cancellation is enabled and the deadline has not passed.

Bookibo treats Unconfirmed, Confirmed, To-do and Completed appointments as occupying their recorded time. Cancelled, Rejected and Missed appointments no longer block that interval for another booking.
